About the Role:

Are you a highly organised, people-focused professional with a passion for supporting teams and delivering excellent service? The Polaris Centre is looking for a proactive Administration Coordinator to join our dynamic team. In this role, you’ll be at the heart of our operations — providing high-quality customer service to clients and stakeholders, managing accounts-related tasks, maintaining efficient data systems, and offering essential support across the Polaris Centre and City Shaping Division. You’ll play a key role in keeping our operations running smoothly while helping improve the overall efficiency, quality, and productivity of the Centre.

 

Key Responsibilities:

  • Be the first point of contact for clients and the public, delivering professional and friendly service
  • Provide high-level administrative support including data entry, document management, and responding to client enquiries
  • Coordinate room bookings and ensure training, meeting, and board rooms are prepared and stocked
  • Support the setup, pack-down, and delivery of business networking events, workshops, and expos
  • Process accounts payable and receivable, credit card reconciliations, and CRM-related tasks in line with policies
  • Manage mail and internal correspondence efficiently
  • Schedule appointments and coordinate agendas and minutes for team meetings
  • Maintain office supplies and ensure stationery is well stocked
  • Operate and manage Polaris Centre digital devices including digital screens and multifunction printers
  • Assist with administrative reporting tasks relating to legislation and regulation compliance

 

To be successful within this role, you will have:

  • Certificate IV in Business Administration or relevant experience in a fast-paced team admin role
  • Excellent organisational and time management skills, with the ability to meet deadlines
  • Outstanding communication and customer service skills with a can-do attitude
  • Strong attention to detail and the ability to work well under pressure
  • Proficiency in Microsoft 365 (Word, Excel, Outlook, Teams, PowerPoint)
  • Ability to learn internal systems (e.g., Objective, FinanceOne, Pathway, Dataworks) and external platforms (e.g., Eventbrite, Mailchimp, Facebook, CRM tools)
  • Sound knowledge of general office procedures and equipment
  • Ability to work out of hours for events
